Fix HP Printer Problems: Solve Print Quality, Printing Speed, and Driver Issues

Oftentimes, problems with our HP inkjet printers appear repeatedly. It's the same scenario every time; jammed papers, spotty printing, error message, etc. These are common problems which can easily be fixed and should not be a reason for delays. It is quick and easy to fix HP printer problems. Here are some tips which can help the next time you are faced with these situations.

Paper jams. This is by far the most common problem encountered when printing. Reasons for this include using crumpled papers, and printer roller problems. Once your paper is jammed, stop the printing operation, turn off your printer and pull the paper in the direction of the printing path; pulling it backwards might damage your printer more. Make sure there aren't any pieces of paper left inside the printer, and turn it back on. This should work properly by now.

However, if the rollers seemed misplaced or broken, you will have to buy a replacement roller for your printer model and ask your technician to replace it. Or you can go to the HP service center for assistance.

Low Print Quality: White lines along the paper, blotchy and spotty printing. There are two reasons from this problem: empty ink cartridge, and clogged Print Heads, the tubes that transfers ink from the cartridge to the paper. With the first, you simply have to replace the ink, and clean the Print Heads with your system; this is usually included in the printer window appearing when you put in a new cartridge. End it in a test print. Otherwise, you will have to clean your Print Heads with the use of cotton swabs and alcohol.

Printer is refusing to print. If you're getting error messages when trying to print, or your documents simply does not print, check the cable connections of your printer and computer, the cables should be plugged firmly in the proper ports. Also make sure that both your devices are getting enough power supply.

In addition, check printer settings to make sure that you have selected the proper device for document printing. You can do this by clicking on Start > Devices and Printers, and select your default printer. If it still doesn't work, you need to open your printer and check if something is blocking the rollers, the ink cartridges, or any other part of the printer. Dust can also cause this printer malfunction.

Ghosting or Slipping. If your printer produces an image with a much lighter copy, or overlapping pictures in a page, and you are certain you did not change your printing settings or image quality prior to printing, this should be caused by insufficient power supply. You might have to connect it to another outlet. However, if your printer is old, some parts may already need replacement, and such causes this printer problem as well.

Printer suddenly does not work. If you have recently changed your windows version, most probably, your computer has set new default driver software. It is the driver that makes your device work, in this case, the printer driver. If you have installed a new application, the default driver might also change. You can solve this by downloading the proper printer driver for your printer model online. Remember to key in your correct printer model and operating system when searching, for installing the wrong driver will not make your printer work. You can add efficiency by downloading from reliable sites which also offers drivers for other hardware, or searching programs that will look for the right driver for your device.

Printers generally last for 8 to 15 years. Observe proper maintenance: check the ink cartridge and the print heads, clean and dust off your printer occasionally, and stick with the ink brand and name that comes with your printer. Keep in mind to use the proper driver software all the time and install updates. Next time you encounter the above-mentioned problems, you can quickly fix your HP printer.

Output Management As A Way To Curb Color Printer Consumable Cost And Address Security Issues

If you use Color Multi-Function Workgroup Printers you most probably got a shock when you had to pay over $200 for the yellow toner cartridge or $230 for the black toner. If you have a thousand of the beasts, that is quickly a quarter to half a million in a quarter. The new multi-function network printers have good graphical and color output but at a cost. Workgroup printing has reduced the cost of support but the new capabilities have come at a significant toner cost.

If you are sharing a workgroup printer with others then you are well aware of the loss of your document privacy. When you were printing on your desktop, the documents remained confidential, now they can be seen by anyone scanning them at the printer.

If those issues sound familiar and are also your issues, you may consider a printer output management solution. Such solutions usually contain two elements, a central server software or an appliance, usually a PC / Server with the software pre-installed, and a device next to the printer to let the print queue know you are there, ready to pick up your print output.

Depending on the size of your operation you may immediately see the benefit in toner and paper saving and can make a quick decision to employ such technology, or you may want to first find out how big your problem is, and use an accounting and print cost survey software.

To use a survey software usually does not tell the whole story and cannot take into account issues like the losses in productivity for re-prints due to printed output thrown away by your colleagues or confidential documents being read by the party you didn't want to see the documents.

Once you have decided you will converge or have converged to multi-function workgroup printer and copier devices, and you want to manage color printing, faxing, emailing or copying for certain users, an output management system that includes user authentication will be the best option.

There are many output management offerings in the market, almost any printer manufacturer has its own system and if you only have one or two printers of the same make and you generally keep them for 3 years or more, that is the most cost effective solution for those printer manufacturers where the software comes free with the printer. The printer supplied authentication systems usually only work with PIN codes and sometimes those are cumbersome to enter, depending on the device's front panel capabilities, functionality and ergonomics.

If you have to pay extra for the software, you may consider an independent vendor so that when you change your printer you do not have to re-train your users how to use another way of authentication. Only an independent output management solution will provide flexible, scalable, enterprise-wide output delivery, monitoring, and management via a unified infrastructure.

Some vendors provide very good ergonomic authentication readers, ranging from robust keypads, proximity card, barcode, swipe card and combination readers. The better systems will integrate with your access control systems and be able to use your existing ID badges to authenticate at the device or even combine the ID badge with the users fingerprint for more secure authentication.

The top-end of the output management systems will allow entering cost codes, client matter id, user enrollment from the front panel as well as getting job-queue feedback and management from the built-in display on the printer or on an additional display unit supplied with the authentication system. This makes the output management solution capable to be used in applications of the legal profession requiring accounting of print output production and association with Client Matter Codes.

Once you have many users dependant on the availability of workgroup printers, you may want to plan for redundancy, let the print follow you to the printer where you happen to be and authenticate. This Follow-Me type system allows you to pick up your print from any available printer in your organization and overcomes the odd hiccup if a printer is out of toner or out of paper.

Some printer makes allow output management of independent vendors to run embedded on their printers and the best are different in as far that independent software can run on the printer and independent authentication readers can be plugged directly into the printer, requiring no external authentication devices. The more capable embedded solutions allow fax, email and scanning to be controlled by user, making this the most cost effective way to implement a hardcopy-output and output-device management solution.

You want to look out for the database technology used by the independent software vendor and make sure it is transparent, like MS-SQL or Oracle and their free versions MS SQL 2005 Express or Oracle Database 10g Express Edition. SQL or Oracle are really the only practical databases for larger output management implementations as it also allows the sharing and integration into other enterprise applications. MSDE has a 2GB size limitation and is only practical for small or well maintained applications. A full blown SQL or Oracle license gives you all the tools and convenience, downside is that it only runs on a Server so you have to consider the higher cost of a server license.

High-end output management solutions can also inject barcodes and convert printer languages on the fly as well as keeping lower resolution copies of the print in a independent format like GIF or PDF so you can find them later by date time user and content.

The costs vary widely from a few hundred dollars for an accounting only or surveying system to a few hundred thousand a year for a large enterprise-wide system, the savings can be in similar ranges from a few hundred dollars a printer to one or two thousand dollars a printer a year in a large enterprise or in a school or university.

If you are implementing Output Management from scratch you may want to select a vendor that can integrate pc-access, area access control and output management in one system.

Klaus Bollmann is a veteran in printer output management and has been ih in the forefront of innovative output management technology for more than 20 years. He was the original developer of many of the concepts used in today?s multi function printers including the FollowMe printing concept.

Some printer makes allow output management by independent vendors to run embedded on their printers. In 2006, HP was one of the leading printer makers in this field. HP is different in as far that independent software can run on the printer as well as their ability of accepting independent manufacturer?s authentication readers can be plugged directly into the HP printers? USB host ports, requiring no external authentication devices and making this a more cost effective solution rather than using external authentication hardware.

Ringdale® provides FollowMe® Output Management software tailored to different size organizations. A free limited edition is supplied with its range of authentication readers. For more detail at FollowMe

Printer Issues - What to Do When Your Canon Printer Stops Working

Printers are the commonest and most essential devices used by organizations, offices, schools, homes etc. to meet their different printing needs. A printer is used to generate hard copy of everything from beautiful photos, images, papers, to simple documents etc.

Canon printers are ranked among the most trusted printing devices that people put in their faith to. However, like all other technical devices, Canon printers can also malfunction at times. The reasons can vary as per the nature of the problem.

Common Issues

Some issues are common in nature and can be fixed easily with little knowledge and patience. See the list below for more information:

o Paper quality issues

o Corrupt printer drivers

o Out of paper, paper jam, no response

o Empty/faulty ink or toner cartridge

o Power failure, printer cable failure

o Recent changes made to the printer

The Self-Help Guide

As I said earlier, most of the common issues can be dealt with ease and little patience. This guide will help you work around your printer and resolve the issues on your own, thus saving time as well as money.

Restart Computer/printer- Sometimes, a simple rebooting resolves the problem fully as it retunes the printer software.

Print quality issues- One of the most frequent problems is to get a poorly printed paper with smudged lines, letters, half paper inside printer etc. First thing you need to do is to check your ink/toner cartridge if it is empty. Replace the empty cartridge with a new one. If it is not empty, then clean the printer with a clean, dry cloth. Sometimes, the dirt or dried toner flakes accumulate inside the device and cause problem in quality printing. If the paper stock inside printer tray is not fanned, it may cause problem as the device may not be able to take sheets individually due to their stickiness.

Corrupt Drivers- If your printer's driver has gone faulty then remove it and download latest, compatible driver to resume the functions. A driver is a software that establishes communication between a printer and a computer. It is advised that you download drivers from your vendor's or publisher's website. These usually have a list of devices and their compatible drivers. Also, if you upgraded your operating system (OS) or computer (but didn't upgrade drivers) or purchased a new printer but it has an out-dated software CD, you should install latest, compatible drivers for your printer to work.

Faulty ink/toner cartridge- Ensure that the ink or toner cartridge is not faulty. If it is, then replace it. Even factory built-in toners can malfunction due to manufacturing flaws. Also, before replacing the toner cartridge, always clean out your printer with a clean, dry cloth just to ensure that dirt or dried toner flakes are not causing the problem.

Power failure/printer cable failure- Ensure that the green power light is lit on the printer. If it is not, then check that the power button is on and the power cable is connected properly at both the ends. Also, check that the printer cable is properly connected to the computer. If it is not then, printer won't work.

Recent changes made to the printer- If you recently made changes to your printer's settings like format etc., then change your settings back to the original or default ones.

Out of paper, paper jam, no response- If the paper tray has no paper, almost empty, or clogged, it is likely to cause problem. Keep the tray full so that it doesn't stop working due to paper shortage. If the printer seems to be clogged, then open it up and check to make sure that not even a fragment of paper is stuck inside.

If you simply follow the abovementioned instructions, your printer should never face any such problem and print beautifully. However, if it seems to be a problem with the hardware, replace it with your vendor. If the problem seems to be more of a technical type that you can't fix, check online knowledge base for online technical support services. You can also take your printer to a local repair shop if it has crashed.

Printer Issues - Troubleshooting Your HP Printer Problems

Despite being highly reliable in the most challenging and rough and tough conditions, HP printers may still create problems and deny functioning properly. And you know that problems always occur at the times when you need your device the most. Look into the common problems below and see the self-help guide to resolve the issues on your own.

Common HP Printer Issues:

o Printer is offline

o Printer will not print

o Paper jams

o Missing/corrupted drivers

o Faded printing text

o Error 79 or 50.4

Fix It Procedure:

Offline Printer - Power off the computer and printer and disconnect their power cords from the power outlet. Also unplug the printer from the computer. Now, plug back the power cable back into the computer and power it on. Also connect the printer back to the power cable but don't turn it on. Connect the printer back to the computer and then power it on. The computer will detect the printer and it will be ready to use.

If this doesn't work, go to the 'Start' menu> go to 'Control Panel'> select 'Printer & faxes'. From the list, right click on whichever printer you have and then click on 'Use Printer Online'. This will resolve the problem.

If this fails too, then unplug the USB that connects printer to the computer, go to the 'Start' menu> and go to 'Run'. When the window comes up, type 'services.msc' (without quotes) in the box and click on 'OK'. It will bring up the list of different programs, scroll down to find 'Print Spooler', right click on it from the drop-down list and click on 'Restart'. This will certainly resolve the problem.

Printer doesn't print- Check the paper tray that it is not out of paper. Check if you recently made changes to your printer settings. If you did, then restore the settings to resolve the problem. Ensure that your recently installed firewall or anti-virus program not interfering with the printer.

If it is wireless printer, check your connection settings. If these are ok, then check that you have assigned a static IP address to your printer. If there is no static IP address, then assign one as your printer might look for new IP address every time you turn it on.

Missing/corrupted drivers- If you recently upgraded to newer Windows versions such as XP/Vista/7, you certainly need new printer driver for your printer to work. Drivers are applications that establish communication between Windows and the hardware (any hardware viz. printer, modem, router etc.).

If the driver is faulty or corrupted then replace it by downloading and installing a new, compatible one. Also, regularly update drivers for smooth functioning of printers. You can download and update drivers from your manufacturer's website or simply run Windows Update to check if new updates are available to download.

Paper jams- A very common issue with all the printers, paper jams occur frequently due to several reasons such as dirt inside the printer, damaged paper roller, or wrong type of paper is used etc. Clean the printer with a soft, dry cloth and if possible keep it in a dirt-free or clean area. Always use the right type of paper and any problem occurring because of this reason would be resolved.

Replacing the damaged roller can be a cumbersome task, varies as per the HP printer model. If you think you can't do it by yourself, take help of a technician. Also, pull out the paper in whichever direction the paper path is. Never pull the paper in the opposite direction as it may damage your HP printer.

Faded printing text- The printing text can appear too faded if the toner cartridge is nearing to finish, the EconoMode feature is on, or the print density is set on low mode. If first is the case, remove the toner cartridge and shake it well so that the toner is evenly redistributed. This will restore the proper printing temporarily until the cartridge is replaced.

To disable EconoMode, go to 'Control Panel'> select 'Printer & faxes'> right click on the HP printer icon and click on 'Properties' from the list. Click on the 'Printing Preferences' button and then click on the 'Finishing' button. Search through the window for print quality settings, and remove the checkmark from the 'EconoMode' box to deactivate the feature. Click on 'Apply' and then click on 'OK' to close the window.

To change print density settings, go to the same tab 'Printing Preferences' under 'Properties' in the 'Printer & faxes'. Click on the 'DETAILS' button on the bottom right hand side and select from the density settings from 1-5.

Error 79/50.4- The error 79 can occur when the network print server has a problem or an add-on part such as a RAM module or MIO card has failed. To overcome the issue, go to the 'Start' menu> open the 'Printer', and clear out the pending printing jobs. This should resolve the problem. If this fails, then uninstall the add-on printer part and install it again one after another to check which part caused the issue.

The error 50.4 indicates towards a power supply problem. If the printer is plugged to a UPS, then unplug it and plug it back directly into the wall jack. This should resolve the problem. Remember, a laser jet printer should not be plugged ever into a UPS as the latter may damaged due to the inadvertent power surges in the former that keeps the fuser assembly warm. Also ensure that all the components are connected properly.

Additional Tips:

Always check that the cables are not damaged as these may damage the printer severely.

Keep your printer clean and dirt free.

If the paper stock seems to be moist or if you are printing in a humid environment, then fan the paper stock thoroughly so that the paper jam problem does not arise.

Don't open the toner cartridge until it is ready to be used. Keep it safe from any damage and don't expose it to light for over a few minutes.
